GBRC BOARD MEETING MINUTES OF 1/27/2003

Attending: Len, Gale, Tjalling, Alison, Carolyn, Christy, Vicki, Mary, Kristin, Polly, Rick, Bill, Alta, Chuck.
Visitors: 3 members of Central Park Trailblazers (Burnaby BC), and 3 members of BellinghamFit.
Location: Cascade Natural Gas

Visitor Presentations: Central Park Trailblazers leader Godfrey Mende wanted to have interaction with our club in sharing some activities and learning how to grow their 60 runner membership.

BellinghamFit(a unit of national USAFit) leader David Neuman wanted GBRC endorsement of his 26 week marathon training program. David Penrose and Mark Karl, training assistants, also attended. Runners' World and New Balance are sponsors. The fee is $85 and the group will meet at Lake Padden starting in May to train for the Seattle Marathon. GBRC does not endorse any training programs but B'hamFit may advertise in our newsletter and may have a table and/or flyers at our races.

Secretary's Minutes and Treasurer's Report were reviewed and approved. Gale presented the financial report for 2002. Club member Ed Cruz volunteered to do our 2002 financial audit.

Membership Report: Alta reported a jump in membership to 684 with 475 newsletters mailed. It was decided to have no newsletters sent if renewal has not been received by the first of the year. Formerly the grace period for renewals ended on March 31. Members will be reminded in the newsletter to renew before the end of the year. Dues are good for 13 months--Dec 1 to Dec 31 of the next year with no grace period for newsletters or race attendance. The application form and brochure will be updated by Mary and Alta. They will bring a mock-up for approval and input by the board. Life-time memberships given to Doug McKeever and Richard West were acknowledged.

Website/Communications Report: Race information should be e-mailed (not faxed) to Vicki. This includes the race flyer and results. Race results should also be e-mailed to Rick or Bill for inclusion on the website. The board decided no commercial interests should be allowed links on our site. David Penrose asked about having the club member roster on the website.

Race Director/Board Liaison: There was record participation at both the Fairhaven Frosty and Lake Samish Runs. Upcoming runs: Sharon Ensslen and Debi Anderson will co-direct the Two for the Road.

Equipment Manager: Alison will do an inventory of the storage locker and is working on race permits. A discussion of race marking materials concluded that spray chalk or marking lime work best. Absolutely no spray paints allowed.

Events/Activities: Mary, Christy and Renee are working on events for the spring and summer and will send a schedule of events to all members.

Old Business: Gale reported we will buy race liability insurance from the USATF on a per race basis at $50-$60 per event. GBRC will buy USATF memberships for our coaches Craig Bartlett and James Hayes.

New Business: Chuck reported that the Chuckanut 50K was charging a $3 fee to club members entering the race. The fee was to cover a post-race party. He objected to the fee since club members have never had to pay to enter a club event. We decided the fee should be optional for those members not attending the post function. Tjalling will communicate with the 50K directors.

Next meeting topics: Support for Footlocker high school race participants (Len), 5-year age divisions at club races (Vicki). Call Len to put an item on the agenda.

Newsletter deadline: March 15

Next meeting: March 24, 6:45 PM at Cascade Natural Gas on Iowa St. All members are welcome to attend.
