GBRC Board Meeting Minutes of 6-23-2003

Agenda Items
- Dennis Wilson will get our 501-C3 (independent non-profit designation) for GBRC. Formerly the RRCA insured the club and as a member club we had their non-profit tax status. We joined the USATF this year for our liability insurance because it was less expensive.
- Mary brought a copy of the new registration form. 2000 copies @ $.04 per copy are being printed. We will distribute them to running stores and Parks & Rec.
- Rick wrote guidelines for recognizing GBRC event sponsors on the website. The guideline’s purpose is to help the GBRC provide a balance between acknowledging a sponsor’s support and avoiding an over- commercialized web page. The guidelines were adopted.
- Privacy statement: The club roster may only be used by race directors and events/activities coordinators for organizing events. The Race Director’s Guide will be updated to include the privacy statement. The pros and cons of a roster available to all club members were discussed.
- Race clock fee and waiver: The club will charge $25 for use of timing equipment at non-GBRC runs. A checklist of items borrowed and returned and a signed waiver will be needed. The metal mile markers and marking supplies will not be loaned. Alison will update the inventory and keep a calendar of non-GBRC races reserving our equipment. Also, the key to the storage locker will no longer be available at the manager’s office. Gale, Mary and Alison will have keys. On the lime vs. spray chalk debate, lime is recommended. Len will recommend F14 Fugitive for the Barkley run to try it out.
- At the September meeting we will work on our 2004 budget. We will build in a discretionary fund amount to use for scholarships and contributions. These will be separate line items.
- Mary and Christy will write a policy proposal for guests/speakers at board meetings for the September meeting.
- A race for the fall is needed. We liked a shorter (10 or 15 mile) trail run in October or a relay.
- We discussed certified race distances and the process of certification. GBRC does not have any certified races.
Next Meeting: July 16 at Lake Padden shelter at 5PM for a run and dinner and a short informational meeting at 6:30. Items to shared are the new clock fee, the website, and announcing the $500 High School Scholarship winners, Alex Grant and Kira Harrison.
